GENERAL
1. All entrants are subject to these terms and conditions. No other terms and conditions shall be incorporated (whether expressly or implied) and no variation of these terms and conditions is effective unless it is in writing and signed on behalf of the Company and Hotel Manager.

2. Acceptance of a reservation by the company is provisional only until a written confirmation subject to these terms and conditions has been received by the Company. Provisional bookings will be held for 14 days after which they lapse unless written confirmation has been received by the Company.

PRICES
3. Prices quoted are current and the Company reserves the right to change these on giving notice to the Customer. Unless stated all prices are inclusive of VAT where applicable. This is also applicable to any commission that is payable.

4. All payments shall be made in pounds sterling by cash, cheques or bankers draft or such credit cards as are accepted by the company. Personal cheques will only be accepted for payment up to the limit of value of the guaranteed card.

5. All conference banqueting prices comprise a catering charge and a room and grounds charge. For the avoidance of doubt the room and grounds charge relates solely to the periods before and after the period of supply of catering. The catering charge and the room and grounds charge represents 80% and 20% of the banqueting price respectively.

PAYMENT
6. Regular customers of the hotel may apply to the Company for a credit account. Credit accounts are issued with an appropriate credit limit and all account invoices shall be settled by the Customer within 14 days following the date of the invoice.

7. For Customers without a credit account payment for banquets, conference or other functions or group reservations shall be made as follows:
(i) 10% of the total price with confirmation of order or stated deposit requested.
(ii) the balance of the total price no later than 28 days prior to the commencement date of the event.

8. Any amounts for additional goods or services which are not included in the reservation shall be paid prior to departure.

9. For the booking of bedrooms only (other than group Reservations) payment shall be made prior to departure and on stated occasions payment will be required prior to arrival.

10. In all cases the Company reserves the right to charge interest for late payment at the rate of 4% per annum over the base rate of National Westminster Bank Plc from time to time, such interest to accrue daily. All deposits and full payments are non refundable.

REDUCTION IN NUMBER OF GUESTS
11. At least 48 hours prior to the banquet, conference or other function or group Reservation the Customer shall confirm to the Hotel the number of guests attending the Event. The amount payable by the Customer shall be calculated on this number of people actually attending, whichever is the greatest

12. If the number of guests noticed pursuant to clause 10 above is less than a 90% of the number stated in the reservation the company may charge the allocated function space or room and or treat the shortfall as a cancellation in accordance with clause 13.

CANCELLATIONS
13. Cancellations of Reservations by the Customer must be in writing. If the Customer cancels an Event the Company may in addition to any other rights or claims it may have, charge on the following basis:_
(i) for cancellations more than 20 weeks prior to the Event the charge will be 25% of the price of the Event calculated in accordance with details set out in the reservation;
(ii) for cancellations of the Event and or Accommodation calculated in accordance with the details set out in the Reservation
(iii) for cancellations less than 12 weeks prior to the Event the charge will be 100% of the price of the Event calculated in accordance with the details set out in the Reservation.

14. In the event of a cancellation the Company will retain the deposit and any other sums paid by the Customer without prejudice to any other rights the Company may have.

15. The Company will endeavour to re-let the rooms or other facilities the subject of the Reservation following cancellation in which event the Customer may receive a reduction in the cancellation charge.

16. The Company reserves the right to cancel a Reservation if at any time:
(i) the Customer is in breach of these terms and conditions or
(ii) the customer is subject to any insolvency proceedings; or
(iii) the accommodation reserved becomes unavailable due to reasons
beyond the company’s control; or
(iv) the Reservation may prejudice the reputation of the Hotel.

VARIATIONS
17. The Company may due to circumstances beyond its control change any arrangements relating to the reservations and will, where possible, notify the Customer of any changes prior to the Event.

18. Save as specially provided in these Conditions the Customer may only change arrangements relating to the Reservations with the consent of the Companyand whilst the Company shall endeavour to assist in providing any additional accommodation or services to the Customer, nothing herein shall be deemed to create any obligations on the Company in respect thereof.

ENTERTAINMENT
19. The Company reserves the right to object to the employment by Customers and guest of photographer, toast master, band, musician, entertainer or otherperson in connection with any function. It is the responsibility of the Customer where appropriate, to comply with all requirements of the Performing Rights Society in respect of any musicians employed.

20. The Company shall not, in any event, be liable for:-
(i) any consequential loss, damage, cost or expenses; or
(ii) any loss unless notified by the customer within (7) days following the event
